Personal data that we process

Meprofa B.V. processes your personal data because you use our services and/or because you provide it to us yourself. We collect and use this personal data because it is necessary to go through the application procedure or to conclude and execute a (possible) employment contract / internship contract / agency work employment contract. In addition, certain personal data are required for compliance with and implementation of provisions from the collective labor agreement that applies to us. We also collect and use your personal data to comply with certain legal obligations. These legal obligations relate, for example, to the determination and chargeability of taxes and premiums for employees.

In view of this necessity, you are obliged to provide us with the necessary personal data. If you do not provide us with any or sufficient personal data, we may not be able to go through an application procedure with you, enter into and execute an (possible) employment contract / internship contract / temporary employment contract with you or comply with our legal obligations.


If you are a (payroll) employee or trainee, we will use your data to draw up, implement and terminate the employment or internship contract or the employment relationship. This includes, among other things:

  1. a) the handling of personnel matters;
  2. b) determining and paying salary, allowances and other amounts of money; and
  3. c) determining and paying any taxes, premiums and other tax obligations for you as an employee or trainee.

If you are an applicant, we use your data to communicate with you about the progress of the application procedure, the assessment of your suitability for a position that is or may become vacant and the possible settlement of the expenses incurred by you.

If you are a temporary worker, we will use the data we obtain from the temporary employment agency to assess your suitability for a position that is or may become vacant and for the implementation of the temporary employment contract.

Transfer to third parties
It is possible that we pass on your personal data to other parties. These other parties can be government bodies, but also parties that carry out work on our behalf or parties to whom we are obliged to provide information in connection with the (execution of the) employment contract. This concerns the following parties:
  • the tax;
  • the UWV;
  • the Tax and Customs Administration our occupational health and safety service/company doctor;
  • the Pension Fund;
  • the absenteeism insurer;

Sometimes the provision of your data to another party is necessary in order to comply with the law, such as the transfer to the Tax and Customs Administration, the UWV, the occupational health and safety service/company doctor and the (mandatory) Pension Fund.

In other cases, transfer may be necessary to be able to perform the (employment) agreement with you. We have a legitimate interest in providing your data to our absenteeism insurer, namely that this enables us to claim an insurance payment.

In addition, there are parties who perform work on our behalf, such as the accountant/bookkeeper/payroll administrator. We have a legitimate interest in this transfer of your data. These activities have been outsourced because of (among other things) the knowledge and expertise that our accountant/bookkeeper/payroll administrator possesses. In order to execute the (employment) contract with you, the accountant/bookkeeper/payroll administrator needs your personal data.

We also use external server space for the storage of (parts of) our personnel and payroll administration, which includes your personal data. Your personal data is therefore provided to our server provider. In addition, we use Microsoft Office and the associated storage options for e-mails and other files. We have a legitimate interest in these two transfers, because we want to store and process data digitally and outsourcing this has various advantages.

Automated decision making

Meprofa B.V. does not make decisions based on automated processing on matters that can have (significant) consequences for people. These are decisions taken by computer programs or systems, without involving a person (for example, an employee of Meprofa B.V.).

How long we keep personal data

Meprofa B.V. does not store your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We use the following retention periods for the following (categories) of personal data:

Application data: 4 weeks, unless otherwise agreed

payroll administration: up to 7 years after termination of employment

Other personnel data: up to 2 years after termination of employment

Cookies, or similar techniques, that we use

Meprofa B.V. does not use cookies or similar techniques.

View, modify or delete data

You have the right to view, correct or delete your personal data. You also have the right to withdraw your consent to the data processing or to object to the processing of your personal data by Meprofa B.V. and you have the right to data portability. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or another organization mentioned by you.

You can send a request for inspection, correction, deletion, data transfer of your personal data or request for cancellation of your consent or objection to the processing of your personal data to hr@meprofa.nl.

To ensure that the request for inspection has been made by you, we ask you to enclose a copy of your proof of identity with the request. Make your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and citizen service number (BSN) black in this copy. This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.

Meprofa B.V. would also like to point out that you have the option of submitting a complaint to the national supervisory authority, the Dutch Data Protection Authority. How we secure personal data

Meprofa B.V. takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification.
